Some associations collect payment dues on a high frequency (monthly, quarterly). Property owners in these associations shouldn’t have to review and manually pay each invoice unless they choose to. Auto Pay allows property owners to automatically opt-in to payment of open invoices without interaction. They can add any number of payment methods to use for their property's Auto Pay Payment Method.

Once a property owner has enabled Auto Pay, they'll be presented with a list of upcoming Auto Pay Payment dates and amounts if there are any open invoices.

Since your property owners probably aren't frequenting their HOA homeowner portal, we'll send Auto Pay reminder emails so they'll always be prepared for upcoming charges. The email includes a PDF attachment of the invoice to be paid, a breakdown of the total charges, and a link to the homeowner portal to update their payment method should the need to change it.
These reminder emails will be sent about three days before the Auto Pay date. We will not Auto Pay an invoice until at least 2 days after we've sent a reminder email.

If the payment fails the property owner will receive a failure notification email prompting them to update their Auto Pay Payment Method.
Digital payments processing fees can add up, and not every homeowner association can—or wants to—absorb these costs for the convenience of property owners. To address this, HOALife now supports property owners covering all processing fees when making a payment via the Homeowner Portal.
For example, if a property’s monthly dues are $100 and the owner pays using bank transfer or credit card through the portal, the fee is added to the total charge. This ensures that the full $100 is deposited into the HOA’s bank account.

Often associations want to adjust a
Violation Type's
Days to Cure
based on the occurrence count of the violation. This allows for lenient resolution timelines for first time offenders with more constrained timelines for continued non-compliance.
You can now specify the number of
Days to Cure
based on the
Violation's Occurrence Count
by comma-separating the numeric values in the
Days to Cure
field.

If only a single value is specified, that value will be used for all violations of that type, matching previous behavior. Similarly, the last
Days to Cure
value will be used for occurrences greater than the
Days to Cure
values specified (i.e.
30,20
specified as
Days to Cure
a 3rd, 4th, 5th etc occurrence violation would have
20 days to cure
).
You can now create property-specific document repositories! You can specify folders and documents to be visible to the property's owners via the HOALife Homeowner Portal or only visible to HOALife Dashboard users. Folders and documents created at the property-level will not be visible to other property owners or website users.

One of the more labor intensive tasks consuming HOA Board Members' time is managing invoicing for members in-bulk. Unlike traditional uses of most accounting software, invoices in HOA's are often created for hundreds or thousands of members on a recurring basis that are nearly identical. This results in a lot of manual, monotonous, data entry. 🤮
To reduce this burden we've added support for creating, sending and deleting (if needed) invoices across your HOALife properties, doubling down on HOALife's Quickbooks Online compatibility.
Starting today you can create invoices for any of your products/services defined in Quickbooks Online for a subset or all of your HOA's properties. Once you've generated the invoices for your properties you can download all the Invoice PDFs or send them all via Quickbooks invoice emailing function.

Coupled with HOALife's existing bulk lettering + unpaid invoice attachment and homeowner portal payment links, collection of annual/quarterly/monthly dues or special assessments is now much easier.

New user role available! Hot on our changes to the Architectural Committee Member role, we've added a new Architectural Committee Voter role!
This role is limited to view Architectural Requests in a read-only fashion, unless their vote has been requested; then they can vote too.
They do
not
have visibility into other parts of HOALife, like property information, violations, etc.

When we originally added support for the Architectural Committee Member user role, we made the decision to make it a "read-only plus some other functionality" user role permission. After overwhelming feedback from our customers, we've pivoted our approach.
Before
A user with Architectural Committee Member role could
  • See all property information, including notes, email communications, letters, violations, and escalations
  • See all Association information such as inspections, metrics, bulk email/letter communications
  • View Architectural Requests and make select changes
They could not:
  • Change or add any l property information, including notes, email communications, letters, violations, and escalations
  • Change or edit any Association information such as inspections, metrics, bulk email/letter communications
  • Send Architectural Request email communications or letters, manage Architectural Request Forms, or initiate new requests
After
A user with Architectural Committee Member role can
  • View Architectural Requests, vote, and approve/deny them
  • Send Architectural Request email communications or letters
  • Manage Architectural Request Forms, or initiate new requests
They can not:
  • View, change, or add any l property information not related to Architectural Requests, including notes, email communications, letters, violations, and escalations
  • View, change, or edit any Association information such as inspections, metrics, bulk email/letter communications

If these restrictions are not desirable for some of your users; no problem! We'd suggest promoting those users to the Staff or Manager role, depending on your needs.

Emails sent through HOALife now track the date the email was sent, when it was delivered, and the most recent date the recipient viewed the email.

You can now filter properties in the Inspector App to those with an Active Violation in Escalation. This is designed to support re-check inspections prior to escalation actions as some localities require by law.
